# Warm transfer

Short answer: A warm transfer is a handoff in which the first person, or an AI assistant, passes a caller or chat to a colleague along with a short summary of who it is and what they need, so the patient does not have to start again. A cold transfer moves the patient across with no context.

## Why does a warm transfer matter for a clinic?

Patients often get in touch when something is on their mind: a worry after a procedure, a question about a bill, a pet that has gone off its food. Having to tell the story all over again makes a stressed person feel processed.

Take an implant practice. A patient calling about financing who reaches the treatment coordinator with the plan, the fee and the question already noted is halfway to a decision. Passed across cold, they may well hang up somewhere in the hold music. The coordinator then spends the callback asking questions the patient already answered once.

## How does a warm transfer work?

### Gather the basics

Name, reason for getting in touch, and anything already answered.

### Check the colleague can take it

On a call, the first person speaks to the colleague before connecting; in chat, the conversation is assigned to a named person.

### Introduce and hand over

The colleague hears or reads the summary first, then greets the patient by name.

### Stay until it lands

If nobody is available, book a callback time in place of dropping the patient into a queue.

Relay teams practise the baton change more than the running. The handoff zone is where races are lost, and a dropped baton loses a team more time than a slow leg ever could.

## What is the difference between a warm and a cold transfer?

Warm and cold transfers compared

| Question | Warm transfer | Cold transfer |
| --- | --- | --- |
| Context passed on | Yes, a short summary | None |
| Does the patient repeat themselves? | No | Usually |
| Staff time | A little more at the handoff | Less at the handoff, more afterwards |
| Best for | Clinical worries, money, complaints, anything sensitive | Simple routing, such as a call for the wrong department |

Software that answers for a clinic, such as an [AI receptionist](https://agentblue.io/glossary/ai-receptionist), should hand over warm by default: pass the summary, then pass the patient.

The honest catch: a warm transfer needs someone to transfer to. If the colleague is never available, the warmest handoff in the world still ends in voicemail, so agree a callback rule for busy hours.

## Frequently asked questions

### Is a warm transfer slower than a cold transfer?

Slightly, for the person handing over. It usually saves time overall, because the colleague does not have to ask everything again.

### Can an AI do a warm transfer?

Yes, where it is set up for it. The AI collects the details, then passes the conversation and its summary to a named person on the team, or books a callback when nobody is available.

- [AI receptionist](https://agentblue.io/glossary/ai-receptionist): An AI receptionist is software that answers a clinic's incoming calls, texts and website chats in plain language, handles routine requests such as booking or rescheduling, and passes anything else to a person. It covers the repeatable parts of the reception job so staff can focus on the patients in front of them.
- [After-hours answering service](https://agentblue.io/glossary/after-hours-answering-service): An after-hours answering service handles a clinic's calls when the office is closed: it takes messages, answers simple questions and passes urgent matters to the on-call clinician under the clinic's own rules. It can be staffed by people in a call centre or run by AI software.
- [Missed call text back](https://agentblue.io/glossary/missed-call-text-back): Missed call text back is a phone setup that sends a text message to a caller whose call went unanswered, usually within a minute or so, inviting them to reply by text. It turns a missed call into a conversation the clinic can pick up.
