# Privacy notice Updated 2026-10-20 This notice explains what information this website collects, why, who receives it, how long it is kept and how to ask for a copy or deletion. ## Who runs this site This website, agentblue.io, is run by AgentBlue. For any question about this notice or your information, email rafe@agentblue.io. ## What we collect We collect only the information below. - Demo request form: your name, work email, practice type and number of locations, or the same details sent for you by an AI assistant you use, through our assistant connection or your browser. We note which of these ways your request came in. - Missed call calculator form, only if you choose to send it: your name, work email, clinic name, clinic type, your agreement to be contacted about your numbers, and the numbers you used (missed calls per week, your low and high booking guesses, the value per patient, the visits per year if you used them) with the low and high monthly estimate. Numbers you type into the calculator without sending the form stay in your browser. - How you found the site, sent with the demo form, the calculator form or a chat lead: the type of visit (for example search or an ad), campaign tags in the link you followed, an ad click id if there was one, the name of the referring website, the page you first landed on and the page where you sent the form. - Your cookie choices: whether you allowed analytics and advertising, whether your browser sent a Global Privacy Control signal, and the version of this notice you saw. - Booking details: when you book a call, the Cal.com booking calendar collects your name, email, the time you choose and anything you type into the booking form. If an AI assistant books the call for you, it sends your name, email, time zone and the time you chose. - Sophia chat: your messages, Sophia's replies, the page you were on, and, if you leave your details or ask for a person, your name, email, practice type, number of locations and message. - Technical request data: when a page loads or you send a form, your browser shares technical details such as your IP address with our website hosting provider. We use the IP address only to limit repeated form submissions and bookings, keep it for at most one day, and do not add it to your enquiry. ## Sophia chat When you use the chat, we keep your messages and Sophia's replies for 12 months to answer you and improve the site, then delete them. If you leave your details or ask for a person, the chat is kept with your enquiry for 24 months. Your messages are sent to our AI providers, OpenAI and TypeSafe, only to write and route the replies. Please do not share health or patient details in the chat. ## Why we collect it We use this information only to: - answer your enquiry; - book and hold the demo call; - improve the site, using usage data only if you agreed; - see whether our ads work, only if you agreed. ## Who receives it These types of services receive information to do their part: - our website hosting provider, which delivers the site and the form; - a workflow automation service and spreadsheet storage (Google Sheets), which receive and hold enquiries; - the booking calendar (Cal.com), which takes bookings and receives a reference to your enquiry and how you found the site; - our email provider, which carries email to and from us; - our AI providers (OpenAI and TypeSafe), which receive your chat messages only to write and route Sophia's replies; - analytics providers (Google Analytics and PostHog), only if you allow analytics; - advertising platforms, only if we run ads and you allow advertising. ## How long we keep it We keep each kind of information for a set time: - Enquiries from our forms or an AI assistant, including the numbers sent with the calculator form: 24 months, then deleted. - Usage data in Google Analytics: 14 months. - Usage data in PostHog: 1 year. - Chats with Sophia: 12 months, then deleted; 24 months when you leave your details or ask for a person. - Booking records: kept by Cal.com under its own terms while our booking account exists. - Your cookie choice: 12 months in your browser, then we ask again. - Technical request data: kept by our website hosting provider under its own terms. ## Please do not share patient or health details This site is for clinic businesses. It is not for patient care, and AgentBlue is not a care provider. Please do not share patient or personal health details in our forms or the chat. Use them for questions about AgentBlue. If you choose "I'm a patient" in the demo form, we do not keep what you sent. We tell you that AgentBlue works with clinics and is not a care provider, so your own clinic or provider is the right place to ask. ## Ask for a copy or deletion To ask for a copy of your information, or to have it deleted, email rafe@agentblue.io. A person replies within one business day, Monday to Friday, 9:00 to 17:00 US Eastern. You can change your cookie choice at any time from the Cookie settings link at the bottom of every page. ## Changes to this notice When we change what the site collects or how we use it, we update this notice and the Last updated date at the top of the page.
