Patient growth glossary
Plain answers to the terms that come up when a clinic talks about new patients, recall, reviews and AI search. Each entry opens with a short answer, then shows how the idea works in a clinic and how it differs from the term next to it.
Written for clinic owners, office managers and treatment coordinators who want the meaning without the sales pitch.
A to Z
A
- After-hours answering service
- An after-hours answering service handles a clinic's calls when the office is closed: it takes messages, answers simple questions and passes urgent matters to the on-call clinician under the clinic's own rules. It can be staffed by people in a call centre or run by AI software.
- AI receptionist
- An AI receptionist is software that answers a clinic's incoming calls, texts and website chats in plain language, handles routine requests such as booking or rescheduling, and passes anything else to a person. It covers the repeatable parts of the reception job so staff can focus on the patients in front of them.
- Answer engine optimization (AEO)
- Answer engine optimization, or AEO, is writing and structuring your pages so that search engines and AI assistants can pull a direct answer from them, such as a featured snippet or a quoted line in an AI reply. The aim is to be the answer to one specific question.
C
- Call tracking
- Call tracking is a way of finding out which marketing source led someone to phone your clinic, usually by showing a different phone number for each source, such as an ad, a listing or a mailer. Calls to each number are counted and logged with their source.
- Case acceptance rate in dentistry
- Case acceptance in dentistry is the share of recommended treatment that patients agree to go ahead with, measured by the number of treatment plans or by their value. Practices usually track it as a rate over a month or a quarter.
- Closed-loop attribution
- Closed-loop attribution connects a booked and attended appointment back to the marketing source that started it, such as an ad, a search listing or a referral, and reports that outcome by source. The loop is closed when the real visit, and ideally its revenue, is matched to the first touch.
G
- Generative engine optimization (GEO)
- Generative engine optimization, or GEO, is the practice of making your clinic's information easy for AI tools such as ChatGPT, Gemini, Perplexity and Google's AI Overviews to find, trust and mention when someone asks them a question. It builds on SEO and puts extra weight on clear facts a model can quote.
L
- llms.txt
- llms.txt is a proposed plain text file, placed at the root of a website, that gives AI tools a short, readable summary of the site and links to its most useful pages. It is a suggestion for language models written in Markdown, and no search engine requires it.
- Local SEO
- Local SEO is the work of helping a business appear when people nearby search for what it offers, in map results and searches such as dentist near me. For a clinic, it covers the Google Business Profile, reviews, consistent listings and location pages on its own site.
M
- Missed call text back
- Missed call text back is a phone setup that sends a text message to a caller whose call went unanswered, usually within a minute or so, inviting them to reply by text. It turns a missed call into a conversation the clinic can pick up.
N
- No-show rate
- No-show rate is the share of booked appointments where the patient neither arrived nor cancelled in time. Clinics usually express it as a percentage of all appointments booked over a set period, such as a month.
P
- Patient acquisition cost
- Patient acquisition cost is the total a clinic spends on marketing and sales in a period, divided by the number of new patients who had a first visit in that period. It answers one plain question: what does a new patient cost us?
- Patient lifetime value
- Patient lifetime value, often shortened to LTV, is the total revenue a typical patient brings a clinic over the whole time they stay a patient. It helps a clinic judge what a new patient is worth and how much effort keeping one deserves.
- Patient reactivation
- Patient reactivation is reaching out to people who used to visit your clinic, have not been back for a long time and have no visit booked, and inviting them to return. It starts from a list of lapsed patients instead of a list of due dates.
- Patient recall
- Patient recall is the routine of contacting existing patients when their next planned visit is due, such as a hygiene cleaning, an annual eye exam or a yearly check-up, and helping them book it. It runs on dates the clinic set at the last visit.
- Patient retention rate
- Patient retention rate is the share of patients seen in one period who come back for another visit in the next period of the same length. It shows how many people stay with a clinic, as opposed to how many new ones arrive.
S
- Schema markup
- Schema markup is a standard set of labels, added to a page's code, that tells search engines what the facts on the page mean: this is a dental practice, these are its opening hours, this is a question and its answer. Visitors never see it.
- Speed to lead
- Speed to lead measures how long a new enquiry waits before anyone gives it a helpful reply. The clock starts when a form, chat, call or ad lead reaches your clinic, and stops at the first reply that moves the person forward.
U
- Unscheduled treatment in dentistry
- Unscheduled treatment is dental work that a dentist has diagnosed and explained to the patient, which has no appointment booked to carry it out. Practice management software usually tracks it in a report with the same name.
W
- Warm transfer
- A warm transfer is a handoff in which the first person, or an AI assistant, passes a caller or chat to a colleague along with a short summary of who it is and what they need, so the patient does not have to start again. A cold transfer moves the patient across with no context.
Capture: answering new patients
The first contact: who answers, how fast, and what happens when nobody can.
Recover: bringing patients back
Patients you already have: due visits, lapsed patients, treatment nobody booked and slots left empty.
Grow: keeping and valuing patients
What a patient relationship is worth over time, and how local search brings nearby patients in.
Prove: seeing what works
Tracing a booked patient back to the ad, listing or call that started it, and what it cost.
AI search: getting named in answers
Being found and quoted when patients put their questions to AI tools and search engines.
How is each entry written?
Every definition is written in our own words for clinics, with an example from a med spa, a dental practice or another clinic type, and a comparison from outside healthcare where it helps. Where a term invites a number, we quote only figures from a named, dated public source, and we say so plainly when no reliable benchmark exists.
Entries are definitions first. Each one ends with a quiet link to the AgentBlue page where the idea is put to work, for anyone who wants to go further.
