Call tracking and attribution: see which ads book patients
See which ads, listings and referrers produce calls, form fills and chats, and which of those became appointments in your schedule.
Done for you. Live in about 2 weeks after we receive access to your systems.
- The patient sees your marketing
- They get in touch
- The visit is booked
- The result is counted
How a booking gets traced to its source
Follow one patient who finds your practice through a search ad for dental implants and calls a few days later.
The patient sees your marketing
Each channel shows its own tracking number or tagged link: the search ad, your map listing, the mailer, the referral page.
They get in touch
The call, form or chat is logged with the channel it came through, the date and what the patient asked for.
The visit is booked
When the appointment is made, by your team or by our AI, it is matched to that first contact.
The result is counted
The booking shows up in your results report under the channel that started it.
What you learn about your marketing
Most clinic owners can say what they spend on marketing. Far fewer can say which spend filled the chairs.
Bookings by channel
Search ads, social ads, your map listing, your website and referral partners, each with its enquiries and booked visits side by side.
Enquiries that went nowhere
Calls that rang out and forms nobody answered show up too, so you can see whether a channel is weak or the follow-up is.
A cost per booked patient you can work out
With bookings counted per channel, you can divide your spend by them and compare channels on the same terms.

How we count, so you can check the numbers
An attribution report is only useful if you know the rules behind it. Ours are written down and gone through with you.
A booking means an appointment
We count a channel as producing a patient only when an appointment for that person exists in your booking system.
First contact gets the credit
A booking is credited to the channel of the first call, form or chat we can trace. Where we cannot trace one, it is marked unknown.
The report has a person behind it
Someone on our team goes through the results with you on a regular basis and explains any change in the numbers.
Records your staff can correct
If a patient says they came from a friend and the record says a search ad, your team can correct the history.
What it does
- Gives each marketing channel its own trackable number or link
- Matches calls, forms and chats to booked appointments
- Reports bookings by channel with the counting rules shown
What it cannot do
- Trace word of mouth that never touches a tracked channel
- Promise a return on any channel
- Replace your own judgement about where to spend
Useful wherever marketing spend is real money
The channels differ by field, but the question is the same.
- Dental practices: which implant and aligner campaigns lead to consults on the schedule.
- Med spas: which social ads and promotions bring in booked treatments, not only likes.
- Chiropractic and physical therapy: how many new patients come from your listing compared with physician and employer referrals.
What we connect to trace bookings
Tracing needs to see both ends: where the patient came from and the appointment that followed. We review your accounts on the demo and say what we can connect.
- Your phone line, with tracking numbers per channel
- Your website forms and chat, with tagged links
- Your ad accounts and map listing
- Your booking system or practice software
Frequently asked questions
What is call tracking for a clinic?
Call tracking gives each ad, listing or campaign its own phone number, so a call can be traced to the marketing that prompted it. Paired with your booking data, it shows which channels produce appointments.
What is marketing attribution?
Attribution is the set of rules for deciding which channel gets credit for a booked patient. We credit the first contact we can trace and show the rule in your report.
Will tracking numbers confuse my patients?
Tracking numbers ring straight through to your clinic, and your main number stays the same on your signage and records. Patients simply call the number they see.
What about patients who come from word of mouth?
If they never touch a tracked channel, we cannot trace them, and the report says unknown. Your team can add the source in the patient record when the patient mentions it.
We already get reports from our agency. Why add this?
Agency reports usually stop at clicks, calls or leads. This report follows those contacts through to appointments in your booking system, and it is reviewed with you by a person who does not run your ads.
Will it tell me my return on ad spend?
It shows booked patients by channel. You can set those against your spend to compare channels, and we go through it with you. We do not promise a return on any channel.
Not sure which channels you could track?
Ask Sophia, our AI assistant, which of your current marketing channels could be traced to bookings.
