Chiropractic patient reactivation that brings lapsed patients back

Written and reviewed by Rafe Mirza7 min read

Picture a chiropractor on a quiet Wednesday afternoon, scrolling the patient list during a cancellation.

Name after name of people who did well, felt better halfway through their care plan and simply stopped booking. Some of them were regulars for years.

There is a recall script somewhere in a drawer. Nobody has had a spare hour to use it since spring.

Example
  1. The list is built from your records
  2. A short text goes out
  3. Replies get answered
  4. The visit is booked
  5. Quiet patients rest

What is patient reactivation for a chiropractic office?

Short answer: patient reactivation means reaching out to people who used to come in and have stopped, and making it easy for them to book again. In chiropractic it usually covers two groups, patients who left a care plan partway and long-standing patients who drifted away from maintenance visits.

Most offices know this matters. The trouble is time. Calling down a list of lapsed patients is slow, a little awkward and always the first job to slip when the schedule fills up, which is exactly when it would be easiest to fit returning patients in.

Think of the friend you keep meaning to text. The longer you leave it, the stranger the message feels to write, so you leave it longer still. Lapsed patients feel the same about calling you.

Why do chiropractic patients lapse, and what does it cost?

The most common reason is good news. The pain eases, life gets busy and the remaining care plan visits start to feel optional. Others lapse over a schedule change, a move across town or a gap in their insurance year, and plenty mean to return and just never get round to booking.

Feeling better is the most expensive thing that can happen to a care plan.

For the office, each lapsed patient is a relationship you already built. They know where you are, they trust the doctor, and they do not need to be won from scratch the way a new patient exam lead does. Lapsed patient reactivation is usually the cheapest growth an office has, and the least worked.

You can size it in an hour with your own records:

Example

  • Patients seen in the past two years with no visit in the last six months: ___
  • Of those, patients who stopped partway through a care plan: ___
  • Average value of a returning patient’s next block of visits: ___
  • Reactivated patients per month that would make the effort worthwhile: ___

How does a reactivation campaign run week to week?

Here is the path for one patient through a lapsed patient reactivation campaign, once it is set up with your office.

  1. The list is built from your records

Patients with no visit for the length of time you choose are pulled from your schedule history, split by whether they left mid care plan or after maintenance.

  2. A short text goes out

It uses the recall script you approved, comes from your office and is signed as your office’s AI assistant. It asks how they are doing and offers a couple of times.

  3. Replies get answered

Questions about times, the doctor’s schedule or what a return visit involves are answered. Anything about their condition goes to the doctor.

  4. The visit is booked

They pick a time and it lands in your schedule, conversation attached, ready for the doctor to see before the visit.

  5. Quiet patients rest

No reply gets one gentle follow-up later on. After that the patient is left alone until the next campaign you approve.

The campaign runs in small batches, so returning patients arrive at a pace your schedule can absorb instead of all on one Monday.

What does a good chiropractic recall script look like?

Most recall script templates online sound like a dentist’s postcard read by a robot. The ones that work are short, personal and ask a question a person can answer without thinking.

A common recall scriptWhat we would send instead
We miss you! It has been a while since your last adjustment. Call us today to schedule your next visit.Hi [first name], it is [doctor name]’s office. It has been a few months since we saw you. How is the [area they came in for] holding up? We have Tuesday evening or Saturday morning open if you want a check-in.

The second version names the doctor, refers to why they came in using the patient’s own words from intake, and offers two real times. It sounds like the office. It asks about them before it asks for anything, which is how most people would write it if they had the time.

Patients who left mid care plan get a slightly different message from long-term maintenance patients. The first group gets an invitation to pick up where they left off, with care plan visits offered at the rhythm the doctor set. The second gets a lighter check-in.

A job for this week that needs no software: list every patient who stopped mid care plan in the past year, let the doctor circle the ten they most want to hear from, and text each one personally from the office phone, two lines at most.

What if a lapsed patient replies with pain or a complaint?

  • A reply describing new or worse pain, numbness or a recent injury stops the booking flow and goes to your team, with the urgent instructions you set.
  • A patient who says they stopped because they were unhappy is passed to the doctor or office manager before any new patient exam or return visit is offered.
  • Questions about whether they still need care plan visits are clinical. The AI says the doctor will answer and passes the message on.
  • Insurance and cost questions go to your staff, and the AI does not quote prices or offer discounts unless you have approved an offer.
  • If the reply says they now live elsewhere or see another chiropractor, the AI thanks them, flags the record for your team and sends nothing further.

The honest catch: lapsed patient reactivation brings back people who meant to return. It will not win back someone who left over a bad experience, and if replies keep pointing to the same reason, we will bring it to your regular review.

How does it use your chiropractic practice software?

Visit history comes from your chiropractic practice software: when each patient last came in, how far through a care plan they got and which doctor they saw. Return visits are booked back into the same schedule, so care plan visits and reactivations sit side by side.

Already sending reminders from your software? Keep the ones patients like. We sort out the overlap with you when we first look at your setup, which prevents double texts.

  • Lapsed patients contacted, split by mid care plan and maintenance
  • Replies, with each recall script version and how patients responded to it
  • Return visits booked, each linked to its conversation
  • Messages passed to the doctor or office manager, with the thread
  • A regular results review with someone from AgentBlue, line by line

Frequently asked questions

What should a chiropractic reactivation text say?

Keep it short and personal: who it is from, a question about how they are doing and a couple of open times. Skip guilt, urgency and exclamation marks.

How long after the last visit should we reach out?

It depends on your patients, and the doctor sets it. Many offices start with patients who stopped mid care plan, then widen to maintenance patients whose last visit was some months back.

Can we use our own recall script?

Yes. We start from what you already use, tighten it with you and keep a version for each group of patients. You approve every version before it goes out.

Will reactivation texts feel pushy to patients?

Not if they ask before they sell. Each patient gets one message and at most one follow-up per campaign, and the tone is a check-in.

Does the AI decide whether a patient needs more care?

No. Any question about their condition or care plan goes to the doctor, and the AI only handles booking and practical questions.

Do patients know the replies come from an AI?

Yes. Every message carries your office’s AI assistant signature, and a reply asking for a human goes to your staff.

When could our first reactivation campaign go out?

Live in about 2 weeks after we receive access to your systems. You sign off the recall script and the patient list before anything is sent.

Want a recall script written for your office?
